Have you ever attended a virtual meeting where another attendee showed up late, unprepared, or not at all? How did that make you feel?

💡 Concept

According to research by Atlassian, the average employee attends 62 meetings per month. With that many meetings on the schedule, you would think that people would be better at them! But as virtual meetings have become more prevalent, so too has bad virtual meeting etiquette. And since bad habits are contagious, it’s important to review and reinforce basic meeting guidelines to keep virtual meetings positive and productive.

Basic Virtual Meeting Etiquette

  • Show up. This seems almost too basic to mention! But if you have indicated that you plan to attend a meeting, you should actually attend. If something comes up at the last minute, send a message to let other attendee(s) know.

  • Be punctual. Respect others’ time by joining the meeting on time or early.

  • Join from a suitable place. Choose a place that is as quiet and well-lit as possible, with a background that is not distracting.

  • Dress appropriately. Depending on your industry or role, this will vary, but don't veer too far from what you'd wear to an in-person meeting.

  • Be prepared. If you’ve been assigned prework, get it done before the meeting begins.

  • Participate. Contribute to the meeting according to meeting norms. Listen actively, respond thoughtfully, and contribute constructively to the discussion.

  • Avoid multitasking. As much as possible, avoid multitasking or engaging in unrelated activities.

  • Be respectful. Foster an inclusive environment by being respectful and inclusive of all participants.

Here are some ways you can make sure you and your team are practicing good virtual meeting etiquette:

  • Add meeting expectations to team agreements and agendas.

  • Start and end meetings on time.

  • Prepare for any meetings you have this week by reviewing (or asking for) agendas and completing any assigned prework.
